Academic Records & Registration Coordinator
The Office of Academic Records and Registrar is seeking an Academic Records & Registration Coordinator to assist in the USC Veterans Affairs unit. This role serves as a point of contact to veterans and dependents; provides information, referrals and guidance to prospective and enrolled graduate or undergraduate students and academic units regarding VA education benefit policies and procedures, curricula, university policies and procedures and transfer work related to degree requirements for graduation. In addition, this position maintains accurate degree progress summaries for graduate or undergraduate students. Prepares credit summaries for work taken at USC and other domestic institutions. The Academic Records & Registration Coordinator provides technical information to students relating to the application of VA education benefits, transfer credit and the completion of degree requirements. Updates student record computer system and generates requested documents or reports. Verifies student information as requested. Additional duties include, but are not limited to the following:
· Presentations
· One-on-one meetings
· Telephone sessions
· Email communications
Additionally, this role, keeps VA informed of the enrollment status and tuition/fee charges of Veterans and other eligible persons in accordance with the U.S. Department of Veterans Affairs SCO Handbook. Utilizes basic forms to keep VA informed, such as:
· Enrollment Certification (VA Form 22-1999) to report required enrollment information
· Notice of Change in Student Status (VA Form 22-1999b) to report changes to enrollment information
· Monitor the subjects pursued by a student to certify to VA only those subjects that apply to the student’s program
· Monitor student’s grades to ensure satisfactory progress is being made
· Report when a student was terminated due to unsatisfactory progress
· Monitor student’s conduct and report when student is suspended or dismissed
Keep up-to-date on current VA rules and benefits:
· Read and maintain VA bulletins provided by your ELR
· Attend VA training opportunities
· Maintain records of VA students and make all records available for inspection:
· Retain a file of VA papers submitted and records of academic progress, program pursuit, tuition and fee charges etc.
· Maintain records for at least three years following the student’s last date of attendance
· Ensure that the privacy of VA students is protected
Additional responsibilities required of a Yellow Ribbon school:
· Certify in accordance with the school’s Yellow Ribbon agreement
· Maintain these additional records
· Track the number of students enrolled under Yellow Ribbon
· Track the annual amount of tuition and fees
· Track first come-first served enrollment of students into the Yellow Ribbon Program
The USC Veterans Certification Office responds to questions from the VA, students and/or staff regarding established procedures governing one or more of the following areas: registration, course scheduling and availability, degree checks, transcripts, diplomas, academic status, petitions, VA education benefits or financial aid. The selected candidate will be expected to maintain a thorough working knowledge of VA policies and procedures; university curricula practices, policies and procedures as well as of the transferability of course work taken at domestic institutions. Counsel students on issues regarding transfer credit evaluations and degree requirements. Provide alternatives and solutions or direct students to the appropriate VA and/or university unit for resolution. Prepare backup material and documentation for student petitions as needed. This position reports to the Program Administrator for Veterans Affairs at the USC Office of Academic Records & Registrar.

The hourly rate range for this position is $23.54 - $26.00.
