Operation Song Event Coordinator
Operation Song, a federally registered 501(3)(c), is looking for an event coordinator. This position would be responsible for the organization and execution of all fundraising and performance opportunities. Duties include, but are not limited to: Working under the direction of the Program Director, responsible for co-planning and executing the performance of fundraising events, Work closely with local event representatives during the planning, execution, and completion phases of each event, Assist in the selection of venues, Manage events within budget, Responsible for maintaining the event tracker, Responsible for event document management, i.e., receipt and invoice posting for accounting reconciliation, Coordinate with the Program Director to schedule talent for each event, Work closely with PR and Marketing to promote each event, Coordinate all logistic needs of the event, i.e., sound system, tables, chairs, food, alcohol, etc., Ensure donors and sponsors are properly recognized at each event, Responsible for all event close-out tasks, including paying vendors and performers, following up with sponsors, and post-event clean-up, Must attend all events and work closely with the Production Manager as required to ensure execution of all tasks and event deliverables, Work closely with the event Auction Coordinator and Program Director to ensure all follow-up actions are completed, travel required. Skills and Qualifications required: Proven ability to execute an event of up to 500 people, with the ability to scale, Ability to lead a team of 20 or more in the execution of an event, Working knowledge of media/press/communications; ability to build relevant, valuable partnerships with corporate, civic, and other organizations, Strong written and verbal communication skills; a persuasive and passionate communicator with excellent interpersonal and multidisciplinary project skills; ability to work effectively in collaboration with diverse groups of people, Intermediate computer/IT skills (databases, CRM, Google Suite, MS Office, etc.), Ability to effectively communicate with all levels of the organization, Be a quick learner, able to absorb large amounts of information and apply data and critical thinking to event management, Ability to listen, analyze, think clearly and creatively, and work well with individuals and groups, Possess honesty; sensitivity to and tolerance of differing views; a friendly, responsive, and patient approach; personal integrity; a developed sense of values; concern for the organization’s development. Highly confidential, Highly organized and able to manage multiple priorities, Must have a minimum of two (2) years of event planning experience, preferably in a nonprofit environment. Travel Required
