Executive Assistant & Office Associate (Remote)

The Executive Assistant reports to the Executive Director or designate of the Tech Talent Project and provides key administrative support and project management to the senior leadership team.
Essential Responsibilities and Tasks

- Coordinate the senior leadership team’s calendars, including scheduling meetings as requested, proactively addressing conflicts, and making sure the senior leadership team is prepared for and on time for meetings and events
- Coordinate the leadership team’s travel, including booking travel and handling receipts, expenses, and reimbursements
- Ensure the leadership team is prepared for and on time for meetings and events
- Work closely with team, leadership, advocates and others to proactively schedule and logistically support meetings for the leadership team
- Lead operational support for the steering committee and other external meeting logistics
- Support hiring processes including creating job descriptions, refining interview processes, engaging with prospective employees and onboarding new hires
- Support and lead efforts to ensure the team is engaged, effective, and feels valued
- Support Chief of Staff in day-to-day engagement with the fiscal sponsor to manage back-office operations (accounting, payroll, office space and equipment, insurance, legal, etc.)
- Manage expenses, including providing oversight and guidance to the rest of staff in partnership with the Executive Director or designate
- Maintain comprehensive and accurate records, data entry
- Track tasks and deliverables for projects as requested
Required Education, Experience, Knowledge, Skills and Ability

- 2-5 years experience as an executive assistant: supporting executive and team-wide operations and managing projects
- Strong communicator
- Time management and ability to meet deadlines
- Extremely well organized, detail-oriented and analytical
- Exceptional people skills, the ability to identify wants and needs and connect and empathize with strangers
Valued and Non-Essential Education, Experience, Knowledge, Skills and Ability

- Familiarity with government, politics, or the tech industry
- Experience with project management
- Experience with startups and/or remote teams
- Ability to work West Coast hours preferred
