ABOUT THE POSITION:
The City of Santa Rosa is accepting applications for Stores Clerk to fill a full time regular position in the Department of Transportation & Public Works. The Stores Clerk is responsible for issuing and ordering of a variety of automotive supplies, equipment, and parts, in addition to performing a variety of parts-related clerical duties.

The current opening is in Fleet Warehouse. In addition to essential duties described below, responsibilities will include:

  • Performing research of items in stock using a computerized inventory system;
  • Storing excess materials, property and/or equipment for departments;
  • Assisting in maintaining stock records;
  • Locating and arranging for delivery of parts which are not in stock;
  • and performing related duties as assigned.

THE SUCCESSFUL CANDIDATE:

  • Has significant experience using automated inventory control and distribution systems
  • Is highly detail-oriented
  • Cultivates and maintains effective working relationships
  • Demonstrates initiative and a strong commitment to customer service
  • Possesses intermediate computer skills including Word and Excel
  • Possesses basic reading, writing, and math skills; and works accurately with details.

Examples of Duties and Responsibilities

Essential Duties:
The following duties are considered essential for this classification:
  • Receive, accept and unpack incoming materials and supplies;
  • issue materials, supplies, parts and equipment as requested;
  • operate a computer terminal to perform data entry;
  • assist in inventory control and recommend replenishment of supplies to appropriate staff;
  • verify delivery receipts against purchase orders;
  • count stock items in filling requests;
  • pick up and deliver supplies;
  • check shipments for soundness, condition, shortage or discrepancies;
  • assist in annual physical inventory;
  • and retrieve information using a visual display terminal and keyboard.
In addition to the above, the following duties are also considered essential for positions assigned to the Sections specified:
 
Garage Stores:
  • Within established dollar limits, purchase automotive parts, materials, supplies, and tools using the automated purchasing system;
  • locate and arrange for the delivery of parts which are not in stock;
  • perform research of items in stock using a computerized inventory system;
  • assist in maintaining stock records;
  • within established procedures, requisition or order parts by using appropriate vendor catalogs;
  • assist mechanics in determining appropriate parts to be ordered;
  • and order substitute automotive parts on the basis of knowledge of inter-changeability.
Warehouse:
  • Ensure proper completion of a variety of inventory forms;
  • receive and log-in surplus property and materials;
  • package materials for shipping, delivery or return and keep appropriate records;
  • ship return and repair items by common carrier;
  • perform general organization and cleanup of storage facilities;
  • and coordinate transport of surplus property and materials to auction.
Additional Duties:
 
In addition to the duties listed in the Essential Duties Section, each employee in this classification in the section specified may perform the following duties. Any single position may not be assigned all duties listed below, nor do the examples cover all duties which may be assigned.
 
Garage Stores:
  • Perform general organization and cleanup of storage facilities;
  • ensure proper completion of a variety of inventory forms;
  • package materials for shipping, delivery or return and keep appropriate records;
  • ship return and repair items by common carrier;
  • and perform related duties as assigned.
Warehouse:
  • Perform research of items in stock using a computerized inventory system;
  • store excess materials, property and/or equipment for departments;
  • assist in maintaining stock records;
  • locate and arrange for delivery of parts which are not in stock;
  • and perform related duties as assigned.

Required Qualifications

Knowledge of: Automated inventory control and distribution systems; store keeping and inventory methods; record keeping methods related to the maintenance of inventory; and parts nomenclature for various manufacturers. Garage stores assignments also require knowledge of: specifying, procuring and distributing a variety of automotive and truck parts, supplies, equipment and tools.
 
Ability to: Perform routine clerical record keeping and filing; make basic arithmetic calculations; read and interpret a variety of vendor catalogs; order parts within established procedures; retrieve inventory information from an automated inventory system; determine appropriate location of parts within the warehouse or parts room; communicate tactfully with vendors and City employees involved in requisitioning and delivering supplies, automotive parts and other equipment; communicate effectively in writing; understand and carry out oral and written instructions; comprehend and make inferences from written material; perform heavy manual work in lifting and moving stock; safely operate forklifts, other stockroom equipment and motor vehicles; operate a computer terminal; make comparisons of information presented in two or more different formats.

Experience and Education: Any combination equivalent to experience and education that could likely provide the required knowledge and abilities would be qualifying. A typical way to obtain the knowledge and abilities would be: Experience - Sufficient experience in issuing and requisitioning motor vehicle parts and a variety of other materials and equipment; and shipping and receiving or inventory maintenance in a warehouse or stores setting to demonstrate possession of the knowledge and abilities listed above; Education- Equivalent to completion of twelfth grade.

License or Certification: This classification requires the use of a City vehicle while conducting City business. In order to drive, individuals must be physically capable of operating the vehicles safely and must possess an appropriate valid California motor vehicle operator's license.

Working Conditions:
An incumbent in this classification communicates orally with people both face to face and using the telephone; sits for extended periods of time with the ability to move at will while entering data related to orders into a terminal or PC keyboard; sorts, separates, and arranges products in a prescribed manner in the receipt and distribution of incoming shipments of materials and goods; discriminates among and matches colors in ordering items from catalogs or filling orders for specific colored items; climbs ladders or steps and uses arms above shoulder level to store or retrieve items on upper shelves; uses brooms and mops to clean shop areas; lifts and loads materials, supplies, or equipment weighing up to 70 pounds onto a hand-truck; lifts and carries materials, supplies or equipment weighing up to 50 pounds short distances; performs physical inventories; makes fine, highly controlled muscular movements and precise arm/hand positioning movements, and coordinates the movement of more than one limb simultaneously while driving a forklift; prepares boxes or bundles for distribution or shipping; uses stomach and lower back muscles to support the body while storing and distributing items; uses common hand tools such as hammers, X-Acto knives and screw drivers when assembling shelving units, modifying storage equipment, disassembling items for identification, and opening boxes or crates. Incumbents assigned to the warehouse work in a variety of weather conditions, including hot and cold temperatures and inclement weather, while loading and unloading trucks; bend and stoop repeatedly and continually over time when receiving materials, stocking shelves and shipping return and repair items; and work at heights greater than 10 feet while stocking shelves and retrieving materials. Incumbents assigned to the garage use graphic instructions such as schematic drawings, illustrations, catalogs, and faxes when specifying parts, materials and tools to be ordered.
